This Privacy Policy (“Policy”) explains how Grindstone Holdings LLC (“Company,” “we,” “our,” or “us”) collects, uses, stores, retains, and protects information when you access or use the Profitility mobile and web application (“App” or “Service”).
By creating an account or using the Service, you agree to this Privacy Policy.
1. Information We Collect
A. Account Information
We collect the following information when you create or maintain an account:
- Email address
- Encrypted password
- Account creation date
- Subscription status
- Date and time of acceptance of legal agreements, including:
- End User License Agreement (EULA)
- Terms of Service
- Acceptable Use Policy
- Subscription Terms
- Tax & Financial Disclaimer
B. User-Provided Financial & Operational Data
Users may enter financial and operational data, including:
- Delivery platform names (e.g., Spark, DoorDash, Uber)
- Earnings per trip and tips
- Expenses
- Mileage and route information
- Order numbers
- Trip date and time
- Profit and loss entries
Purpose:
This information is used strictly for analytics, reporting, mileage tracking, tax reporting tools, historical logging, and core Service functionality.
C. Screenshot & OCR Data
- Screenshots remain stored locally on the user’s device.
- Images are not uploaded to, transmitted to, or stored on Company servers.
- Optical Character Recognition (OCR) extracts text for analytics, profit tracking, and reporting purposes.
- Extracted text may be stored as part of the user’s financial records within the Service.
- Users are solely responsible for verifying the accuracy of OCR-extracted information.
D. Device & Usage Data
We may collect limited technical data, including:
- Device type
- Operating system
- App version
- Session logs
- Error reports
- General activity metrics
Purpose:
System security, fraud prevention, performance optimization, abuse detection, and enforcement of legal agreements.
2. How We Use Information
We use collected information to:
- Provide financial and operational analytics
- Generate mileage, expense, and tax reporting tools
- Maintain historical earnings logs
- Deliver subscription features and OCR functionality
- Maintain system integrity and prevent abuse
- Provide customer support
- Send account notifications, updates, or policy changes
We do not sell, rent, or trade user data.
3. Legal Agreement Acceptance Records
We maintain records of the date and time users accept:
- EULA
- Terms of Service
- Acceptable Use Policy
- Subscription Terms
- Tax & Financial Disclaimer
These records are retained for legal compliance and enforcement purposes.
4. Data Storage & Security
User data is stored using secure cloud infrastructure (including Base44 or equivalent providers).
Security safeguards include:
- Encryption in transit
- Secure authentication mechanisms
- Role-based access controls
- Restricted administrative access
No system is completely secure. Users are encouraged to maintain independent financial records.
5. Data Retention
Active Accounts
All user-provided data, including OCR-extracted text and financial records, is retained while the account remains active.
Inactive Accounts
Accounts with twelve (12) consecutive months of no login or activity may be permanently deleted at the Company’s discretion. Reasonable notice may be provided prior to deletion.
Voluntary Account Deletion
Users may delete their account at any time through the App settings. Upon confirmed deletion:
- Personal information and financial records are permanently removed from active systems
- Limited records may be retained as required by law, fraud prevention standards, or legitimate business compliance
- Subscription billing records processed through Apple or Google remain subject to their respective retention policies
Deleted accounts cannot be restored after permanent deletion.
6. Data Ownership & License
- Users retain ownership of all financial and operational data they provide.
- By using the Service, users grant the Company a limited, non-exclusive license to store, process, analyze, and display their data solely for the purpose of operating and improving the Service.
- Ownership of financial and operational records remains with the user.
7. Data Sharing & Disclosure
We may disclose information only in the following circumstances:
A. Service Providers
Third-party vendors that provide:
- Cloud hosting
- OCR processing
- Analytics services
- Payment processing
These providers are contractually required to protect user data.
B. Legal Requirements
When required by:
- Applicable law
- Court order
- Subpoena
- Government request
- Fraud or security investigation
C. Business Transfers
In the event of:
- Merger
- Acquisition
- Sale of assets
- Corporate restructuring
User information may be transferred as part of business assets.
We do not sell user data.
8. Payment & Subscription Information
- All in-app subscriptions are processed exclusively through Apple In-App Purchase or Google Play Billing.
- The Company does not collect or store credit card numbers, bank details, or billing addresses.
- Payment processors manage financial information under their own privacy policies.
Users should review Apple’s and Google’s policies for additional details regarding billing data.
9. Data Accuracy & User Responsibility
Users are responsible for verifying the accuracy of:
- OCR-extracted text
- Profit calculations
- Mileage totals
- Expense entries
- Tax reporting exports
The Service provides analytical tools but does not guarantee financial or tax accuracy. Users remain solely responsible for financial and tax compliance.
10. Children’s Privacy
- The Service is intended only for individuals eighteen (18) years of age or older.
- We do not knowingly collect personal information from minors.
- Accounts identified as belonging to minors will be deleted.
11. International Users
If you access the Service from outside the United States, you consent to the transfer, storage, and processing of your information in the United States under Tennessee law.
12. Changes to This Policy
We may update this Privacy Policy to reflect:
- Changes to Service features
- Security enhancements
- Legal or regulatory requirements
Notice may be provided through:
- In-app notification
- Email
- Updated Effective Date
Continued use of the Service after revisions constitutes acceptance of the updated Policy.
