PROFITILITY – ACCOUNT DELETION & DATA RETENTION POLICY

This Policy explains how Profitility handles account-deletion requests and retention of user information. It should be read together with the Privacy Policy and other applicable Profitility agreements.
1. REQUESTING ACCOUNT DELETION
Users may request deletion of their Profitility account at any time through the in-app account-deletion function when available or by contacting support at support@profitility.app. In-app deletion is the primary method where provided; support is an alternative method for users who cannot access the in-app function.
The Company may take reasonable steps to authenticate a deletion request before acting on it.
2. DEACTIVATION AND RECOVERY PERIOD
Where the production deletion workflow provides a recovery period, account deletion begins with deactivation followed by a thirty (30) day deactivation period. During that period, account access may be disabled while restoration remains available through the supported recovery process.
If the production Service offers an immediate permanent-deletion option, a user may select that option subject to identity verification, legal retention obligations, and technical processing requirements.
3. PERMANENT DELETION
After the applicable recovery period expires, or after a valid immediate permanent-deletion request is processed where available, information associated with the account is deleted from active systems or de-identified as appropriate, except for information that must or may lawfully be retained for the limited purposes described in this Policy.
Permanent deletion from active systems is intended to be irreversible. Information may remain temporarily in protected backup systems until those backups are overwritten or expire under normal backup-retention practices.
4. INFORMATION SUBJECT TO DELETION
Depending on the information associated with the account, deletion may include:
• Account profile and account identifiers.
• User-entered earnings, expenses, mileage, tax-planning, and operational records.
• Stored OCR-extracted or derived information associated with the account.
• Saved analytics, preferences, goals, and related Service records.
• Other user content maintained in active systems and linked to the deleted account.
The treatment of source images, uploaded files, or other feature-specific content depends on the applicable feature and current production implementation. This Policy does not promise that every submitted source file is stored, nor that every feature retains source files for the same period.
5. LIMITED RETENTION AFTER DELETION
The Company may retain limited information after account deletion where reasonably necessary or legally permitted for:
• Compliance with applicable legal, tax, accounting, or regulatory obligations.
• Fraud prevention, security, abuse prevention, and system integrity.
• Establishing, exercising, or defending legal claims and resolving disputes.
• Enforcing applicable agreements.
• Maintaining records of legal-document acceptance or transactions where retention is reasonably necessary.
• Protected backup and disaster-recovery processes until ordinary backup expiration.
Information retained for these purposes will be limited to what is reasonably necessary and will not be retained for unrelated marketing use.
6. BACKUPS
Deleted information may persist temporarily in protected backups created before deletion. Backup copies are not intended to remain available for ordinary product use and are removed or overwritten according to normal backup lifecycle practices.
7. SUBSCRIPTIONS ARE SEPARATE
Deleting a Profitility account does not itself cancel a subscription purchased through the Apple App Store or Google Play. Users must manage or cancel platform subscriptions through the applicable platform account settings to prevent future renewal charges.
8. AGREEMENT AND TRANSACTION RECORDS
The Company may retain records necessary to document prior acceptance of legal agreements, subscription or entitlement history, fraud or security events, support actions, or other legally significant account activity where retention is reasonably necessary.
9. DATA MINIMIZATION
Information retained after deletion should be limited to the minimum reasonably necessary for the permitted purpose, protected from ordinary product access, and deleted or de-identified when the retention purpose no longer applies, subject to applicable law and technical backup cycles.
10. SECURITY
The Company uses reasonable technical, administrative, and organizational safeguards designed to protect information appropriate to the nature of the Service and information processed. No system or storage environment can be guaranteed absolutely secure.
11. CHANGES TO THIS POLICY
The Company may modify this Policy from time to time. Material changes may be communicated by in-app notice, email when available, an updated Effective Date, or a request for affirmative acceptance where required.
12. GOVERNING LAW
This Agreement is governed by the laws of the State of Tennessee, United States, with venue and jurisdiction in Hamilton County, Tennessee.
13. RELATIONSHIP TO PRIVACY POLICY
The Privacy Policy provides additional information regarding collection, use, processing, disclosure, and security of information. If a feature-specific disclosure provides more specific retention information, that disclosure applies to the relevant feature together with this Policy.
